• Group Leader Details
• Full name
• Address
• Phone number
• Email address
• Booking Details
• Start and end dates of your stay
• Number of guests (no individual guest names)
• Group name (as supplied by the leader)

How We Use Your Data

We use your data to:

• Process and manage your booking
• Communicate with you about your stay
• Maintain records for repeat bookings
• Analyse geographic usage of the Centre (using anonymised location data)

Data Retention

• Group Leader Details are retained for 2 years after your last booking. This allows us to support repeat bookings without requiring re-entry of your details.
• After 2 years, we delete all personal data except for the Town and County fields, which are retained for geographic analysis.
• Booking Details (dates, guest numbers, group name) are retained indefinitely for operational and historical purposes.

Note on Group Names: We retain group names unless they contain personal identifiers (e.g. full names). If a group name is deemed to contain personal data, it may be anonymised or removed after 2 years.

Your Rights

Under UK GDPR, you have the right to:

• Request correction or deletion
• Object to processing
• Restrict processing
